Freelance Project/Event Manager - Costume Sale


The Royal Opera House is looking for a suitably experienced freelance project manager with events experience for a large-scale costume, props & armoury sale in 2024. The sale will take place at the ROH scenic workshops in Purfleet Essex on 17 & 18 August 2024, on the site of the High House Production Park (HHPP).

This is part of a wider sustainability project and will require regular reporting to ensure the requirements of the project have been satisfactorily met.

In the first instance the freelance project manager will produce a detailed project business case, including scoping the need for additional casual staff to deliver the sale.

The project is being managed jointly by the Director of Technical Production & Costume, and the Business Director for Audiences & Commercial.

The project manager will work closely with managers across ROH, including the Technical, Production and Costume Department (TPC) and colleagues in Audiences and Commercial (A&C), IT, Operations, H&S and Visitor Experience teams.

Once the business case has been delivered the scope of the sale will include but is not limited to:

Stakeholder engagement:

  • Working closely with relevant managers within TPC, particularly Costume, Props, Armoury and Logistics.
  • Liaising with Production teams at the Scenic Workshops in Purfleet, HHPP and other onsite stakeholders including The Backstage Centre for the Costume Sale.
  • Working with D&E managers to fulfil the requirements of the funded sustainability project.
  • Additional engagement with the COO and CFO for robust project and financial management.

Event planning:

  • Working with ROH managers for staffing levels for set up, load out and event days.
  • Support the Armoury Manager should any items require authority engagement.
  • Ensuring licensing requirements are in place
  • Leading on all planning and preparation leading up to the event, the event itself and the pack up and load-out.
  • With the support of the TPC drafting office, create plans to assist site management
  • Preparing all paperwork required for the event
  • Providing full H&S documentation and site management, with the support of the ROH H&S Manager.

Financial:

  • Budgeting and reconciling for the Costume Sale
  • Reporting to stakeholders regularly regarding budget and event spend


Terms of engagement

This engagement is being offered as a freelance opportunity, the freelance project manager will determine their own working schedule to suit the requirements of the project and the August sale delivery date.

The precise number of days and duration of the engagement will be agreed with the appointed project manager.

The project manager will be able to undertake much of the work remotely, though will on occasion be required to attend all three ROH locations:

  • Royal Opera House, Covent Garden (office and management)
  • Royal Opera House Scenic Workshops (event site), Purfleet, Essex
  • Royal Opera House Stores, Aberdare, Wales

Any travel or overnight accommodation for the project will be provided, and expenses will be in line with ROH Expenses Policy and must be agreed in advance with line managers.
