Project Administrator


£29,000 per annum, full-time office hours (Monday to Friday)

Following a £50m+ capital project (Open Up) focused on the front of house areas and the development of a new Linbury Theatre, the Royal Opera House is now turning its attention to a series of reviews of its estate, systems, processes and organisation. Operational projects across the portfolio emerging from these reviews will be developed into a programme of interdependent special projects contributing to a 10/15-year plan of upgrade, renewal and modernisation. This portfolio of projects is known as the Renewal Programme.

This new role of Project Administrator will provide administrative support to the Renewal Programme and the Operations Office, whilst also acting as a personal assistant to the Director of Operations.

The responsibilities include:

  • Supporting various aspects of project development and delivery, including general administration, project communications and messaging; conducting tours for internal and external personnel; supporting contractor appointment processes; and assisting in the preparations of planning, Listed Building Consent and other statutory applications.
  • Facilitating the setup needs for project consultants, contractors and other external stakeholders, overseeing paperwork, IT and physical access and other arrangements as required.
  • Providing high level PA and administrative support, including but not limited to diary management, correspondence handling, meeting prioritisation, minute-taking and filing.
  • Overseeing timely and regular information flow and the management of meeting documents to ensure the Director of Operations is briefed and prepared.

The successful candidate will be able to demonstrate:

  • Administrative experience in a busy, multi-faceted office, ideally within a large organisation.
  • Confidence in working with senior team members and effectively dealing with executive-level matters with an ability to maintain discretion and confidentiality.
  • A self-starter, with the ability to pre-empt issues, prioritise activities, anticipate needs, plan effectively and be solutions-focused.
  • Experience of supporting projects and project teams.
  • Capability to work under pressure and manage a busy workload with high productivity and initiative.
  • Excellent people and relationship building skills and the ability to operate successfully with people at all levels. Confidence to manage external consultants, advisors and contractors.
